1. Introduction
Voxor ("we", "us", "our") operates the Voxor voice-to-text transcription platform, including its Android application, Windows desktop application, and website at voxor.ai. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use our services.
By using Voxor, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use our services.
2. Information We Collect
2.1 Account Information
When you create an account, we collect:
- Email address
- Password (stored securely via our authentication provider)
- Account preferences and settings
2.2 Audio & Transcription Data
- Audio streams: Voice audio is streamed in real-time to our transcription providers for processing. We do not store raw audio unless you turn on audio storage yourself.
- Stored audio (optional, off by default): If you enable audio storage in your settings, a copy of each recording is kept on our servers so you can play it back from your history. You choose a retention period of 7, 15 or 30 days, after which the recording is deleted automatically. You can delete an individual recording at any time while keeping its transcript, or delete the transcription entirely. This setting is off unless you turn it on.
- Transcriptions: Processed transcription text is stored in your account history so you can access it later.
- Images: If you use the image context feature, uploaded images are held temporarily in memory during your session and discarded immediately after use.
2.3 Crash and Error Reports
When the app hits an error or crashes, it sends a diagnostic report to GlitchTip, an error tracker we host ourselves on our own infrastructure. Reports are not sent to any third-party analytics company.
- What a report contains: the error and its stack trace, the app version, your device model and operating system version, and, if you are signed in, your account ID and the email address on your account, so we can tell whether a problem affects one person or everyone.
- What a report never contains: your audio, your transcripts, your dictionary, your snippets, your personas or instructions, or the contents of anything you dictate.
- Turning it off: open Settings → Privacy & Local Mode and switch off Share crash reports. The change takes effect after the app restarts.
2.4 Payment Information
Payment processing is handled by Stripe. We do not store your full credit card number. We retain only:
- Last 4 digits of your card
- Card brand (e.g., Visa, Mastercard)
- Payment history (amounts, dates, status)
- Stripe customer and subscription identifiers
2.5 Usage Data
We collect anonymized usage analytics including:
- Pages visited on our website
- Word usage counts (for subscription limits)
- Feature usage patterns (anonymized)
Our website analytics are powered by Umami, a privacy-focused analytics tool that does not use cookies and does not collect personally identifiable information.
3. How We Use Your Information
We use your information to:
- Provide and maintain our transcription services
- Process your subscription payments
- Send account-related communications (verification emails, password resets)
- Enforce subscription word limits
- Improve our services and user experience
- Detect and prevent fraud or abuse
- Comply with legal obligations
We do not sell your personal information to third parties. We do not use your transcription content for advertising purposes.
4. Third-Party Services
We use the following third-party services to operate Voxor:
- Speech-to-text providers, process audio streams in real-time to convert speech into text
- Cloudflare and Google Vertex AI, post-process transcriptions for improved accuracy and formatting
- Stripe, handles payment processing securely
- Keycloak, manages authentication and user identity
- Resend, sends transactional emails (verification, password reset)
- GlitchTip, our self-hosted error tracker, receives crash and error reports from the apps
Each third-party provider has its own privacy policy governing how they handle data. We select providers that maintain strong privacy and security standards.
5. Data Storage & Security
- Account data and transcription history are stored in encrypted databases
- All data transmitted between your device and our servers is encrypted using TLS
- Authentication tokens are signed and time-limited
- Passwords are never stored in plain text
- We implement industry-standard security measures to protect against unauthorized access
6. Data Retention
- Transcription history: Retained in your account until you delete it or request account deletion
- Audio data: Discarded after real-time processing unless you enable audio storage, in which case recordings are kept for the retention period you choose (7, 15 or 30 days) and then deleted automatically
- Crash and error reports: Retained in our self-hosted error tracker only as long as needed to diagnose the problem, then deleted automatically
- Payment records: Retained as required for accounting and legal purposes
- Account data: Retained until you request account deletion
7. Your Rights
You have the right to:
- Access your personal data stored in your account
- Delete your transcription history from within the app
- Delete your account yourself at any time, in the app or at voxor.ai/delete-account, which also explains what is removed and what we retain. If you cannot sign in, contact support@voxor.ai
- Export your data by contacting support
- Withdraw consent by discontinuing use of our services
8. Cookies
The Voxor website does not use tracking cookies. Our analytics solution (Umami) is cookie-free and privacy-respecting. Authentication tokens are stored locally on your device and are not shared with third parties.
9. Children's Privacy
Voxor is not intended for use by individuals under the age of 13. We do not knowingly collect personal information from children. If we become aware that we have collected data from a child under 13, we will take steps to delete it promptly.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated effective date. We encourage you to review this policy periodically. Continued use of our services after changes constitutes acceptance of the revised policy.
